Effective and last updated: October 17, 2026 · Version 2026-10-17.1
We use your details to deliver the white paper and manage your request. Advisory follow-up is optional. We do not sell your information or share it for cross-context behavioral advertising. You can contact us to access, correct, or delete your information, or stop follow-up.
Make a privacy request ↓1. Who is responsible
Equimedia Advisors LLC, based in Scottsdale, Arizona, United States, is responsible for the personal information described in this policy. Where the GDPR applies, we act as the data controller. Our privacy contact is Andrew Ramsammy at andrew@equimediaadvisors.com.
This policy covers this public media white paper landing page, its request form, the associated lead records and exports, and related follow-up communications. It does not describe every activity on other websites linked from this page.
2. Notice at Collection
We collect information directly from you, through your interaction with the page and download link, and from delivery and hosting services used to operate the service.
- Identifiers and contact details
- Your name, email address, phone number, and an internal contact ID. We use these to associate your request with a contact record, deliver the paper, respond to your inquiries, and carry out advisory follow-up if you choose it.
- Professional information
- Your organization, if provided, and information you share during an authorized follow-up conversation. We use this to understand the context of your request and discuss relevant services.
- Request and activity records
- Request dates, campaign tags in the page URL, email submission status, message identifiers, download link requests, and your contact preferences. These help manage delivery, understand which campaigns generate requests, and honor your choices. Link activity may include security scanners and does not prove that you read the paper.
- Security and administrative information
- Technical request information, including IP addresses processed for abuse prevention, hashed request counters, and hosting logs. Our contact records may also contain follow-up status, notes, an assigned owner, and a next-contact date.
The current form requires your name, email address, and phone number. These are form requirements, not a statutory obligation. Without them, the form will not submit. Organization and advisory follow-up consent are optional. Phone numbers are not used for advisory calls unless you opt in.
We do not ask for sensitive personal information, such as government identification numbers, financial credentials, health information, or precise location. Please do not provide it in correspondence about this paper.
These categories are not sold or shared for cross-context behavioral advertising. The service provider and retention sections below apply to each category.
3. Purposes and legal bases
Where GDPR legal bases are required, we rely on our legitimate interests in responding to your request, administering the white paper service, maintaining useful request records, and protecting the service against abuse, subject to your rights and reasonable expectations. Relevant legal obligations may require us to retain certain records or respond to lawful requests.
Advisory marketing follow-up relies on your optional consent. Leaving the checkbox unchecked does not prevent delivery of the paper. If you opt in after the campaign is activated, we send three follow-up emails approximately 3, 7, and 14 days after submitting your first white paper delivery email to our provider. These discuss the paper, related resources, and Equimedia Advisors’ services. You may withdraw consent using an unsubscribe link in a follow-up email, by emailing us, or by replying to a message. Withdrawal does not affect earlier lawful processing. This form does not authorize automated marketing calls or text messages.
We do not use this information for solely automated decisions producing legal or similarly significant effects. Lead follow-up decisions are made by people.
4. Who receives information
Authorized Equimedia Advisors personnel can access contact records to manage requests and permitted follow-up. Hosting, database, security, and email delivery providers process the information needed to provide their services. The landing page is hosted through OpenAI Sites with Cloudflare infrastructure. Resend delivers the white paper email and, for opted-in recipients, manages the follow-up sequence. Resend receives the recipient email address, name, relevant campaign status, and message contents. It records delivery and subscription events. We do not send phone numbers or private lead notes to Resend.
We may disclose information to professional advisers or authorities when needed to satisfy a legal obligation, handle a dispute, or protect legitimate rights. We do not provide the contact list to sponsors or unrelated marketers. We do not sell or rent it.
6. How long information is kept
We retain contact and request records only while reasonably needed to deliver the paper, resolve delivery questions, manage an active or reasonably anticipated advisory conversation you requested, honor your preferences, or meet applicable legal requirements. Retention decisions consider the date of your last interaction, whether a conversation remains active, any withdrawal or deletion request, and relevant recordkeeping or dispute-resolution obligations.
Download links expire after 30 days. Abuse-prevention counters use time windows of up to 24 hours; expired counters and link records are removed during routine application cleanup. Expiration of a link does not automatically delete the underlying contact record.
Where needed, we may retain a minimal record of a do-not-contact preference or privacy request to honor it and document our response. Provider backups, delivery records, and security logs may follow separate retention schedules. Contact us for details relevant to your request. Deletion requests also cover relevant working exports under our control, subject to applicable exceptions.
7. European and UK privacy rights
Where the GDPR or UK GDPR applies, you may request access to your personal information, correction, deletion, restriction of processing, or portability where available. You may object to processing based on legitimate interests, and you may object to direct marketing at any time. You may also withdraw consent without losing your right to receive the paper.
You can complain to the supervisory authority in your country, including the UK Information Commissioner where relevant. We normally respond to covered requests within one month. When the law permits an extension for complexity or volume, we will explain the extension within that initial period.
These rights can be subject to legal conditions and exceptions. We will explain any limitation or refusal and available complaint options.
8. California privacy rights
Where the CCPA, as amended by the CPRA, applies, California residents may request to know or access collected information, correct inaccuracies, delete information, and obtain a portable copy. They may opt out of sale or sharing for cross-context behavioral advertising and, where applicable, limit certain uses of sensitive information. Exercising privacy rights will not result in unlawful discrimination.
This service does not sell or share information for cross-context behavioral advertising and does not request sensitive information for purposes requiring a limitation choice. The categories and business purposes above describe this service’s practices since launch.
An authorized agent may submit a request with appropriate proof of authority. We may verify your identity for access, correction, or deletion. Covered requests generally receive a response within 45 calendar days, with a further 45 days where permitted and explained. Applicable opt-out requests are handled within the legally required period.
9. Exercise your choices
Email andrew@equimediaadvisors.com with the subject “Privacy request.” Tell us whether you want access, correction, deletion, restriction, or to stop follow-up, and provide the email address used for the white paper request. A subject line is helpful, but not required.
You do not need to create an account to email a privacy request. We may ask for limited information to match a request to the right person and prevent unauthorized disclosure. Do not send passwords, government IDs, or financial information unless a secure and necessary verification method has been agreed.
The unsubscribe link in each campaign email stops remaining campaign messages through Resend. You can also reply to an Equimedia Advisors email to stop advisory follow-up; replies are reviewed by a person. We will record the preference and stop that follow-up. A minimal suppression record may remain to prevent future unwanted contact. If we cannot fulfill a request, we will explain why.
Email a privacy request ↗10. International processing
Equimedia Advisors is based in the United States. Our service providers may process information in the United States and other locations where they operate. Where applicable law requires safeguards for a restricted international transfer, the transfer must be covered by an applicable adequacy decision or appropriate safeguards, such as approved contractual clauses and any necessary additional protections. Contact us for the arrangements applicable to your information and how to obtain a copy of relevant safeguards. Submitting the form does not waive your privacy rights or itself establish a lawful transfer mechanism.
11. Security and children
Lead records and exports require authorized access. Download links contain unpredictable tokens and expire. These measures reduce risk, but no online service can guarantee absolute security.
This professional resource is intended for adults. We do not knowingly collect information from children under 16. If you believe a child has provided information, contact us so we can investigate and remove it where appropriate.
12. Changes to this policy
We will update this page and its revision date when our practices change. If we introduce a materially different use that requires notice or consent, we will provide that notice or obtain consent before making the change.
